Job Overview: We are looking for a proactive and organized Remote Office Coordinator to join our dynamic college theater team. This position is perfect for someone who is passionate about the arts and has strong administrative skills. As the Remote Office Coordinator, you will play a crucial role in ensuring the smooth operation of our theater’s administrative functions, supporting both the production team and students, all while working from the comfort of your home.

Key Responsibilities:

  • Administrative Support: Provide general administrative support to the theater department, including managing emails, scheduling meetings, and handling correspondence.
  • Event Coordination: Assist with the planning and coordination of theater events, performances, and rehearsals, ensuring all logistical aspects are organized and communicated effectively.
  • Communication Hub: Serve as the primary point of contact for internal and external communications, including responding to inquiries from students, faculty, and external partners.
  • Document Management: Maintain and organize digital files, including scripts, contracts, and production notes, ensuring easy access and up-to-date records.
  • Budget Tracking: Assist in monitoring the theater department’s budget, processing invoices, and tracking expenses.
  • Social Media & Marketing Support: Collaborate with the marketing team to promote theater productions and events through social media, newsletters, and other channels.
  • Student Support: Provide administrative assistance to students involved in theater productions, including helping with scheduling, resources, and general inquiries.
  • Database Management: Maintain databases of contacts, alumni, and other key stakeholders, ensuring information is accurate and up to date.
  • Supply Coordination: Oversee the ordering and inventory of office and theater supplies, ensuring the department has the necessary materials for productions and day-to-day operations.
  • Special Projects: Assist with special projects as needed, such as coordinating workshops, guest lectures, or other theater-related activities.



Qualifications:

  • High school diploma or equivalent required; some college coursework or a degree in a related field is a plus.
  • Previous experience in office administration, preferably in an educational or arts setting.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with video conferencing tools.
  • Familiarity with social media platforms and basic marketing principles is a plus.
  • Ability to work independently and as part of a team in a remote environment.
  • A passion for the performing arts and an understanding of theater production processes is highly desirable.
