Job Description

We have three full time openings for home based executive assistants. We are offering $38,500 per year for those with experience.

These roles supports our Executive Vice President, General Counsel, Chief Investment Officer, Vice President of Asset Management and Investor Relations.

Administrative Support:

  • Produce quality work in your home office environment, meeting deadlines as well as internal and external customer expectations for quality and accuracy.
  • Work independently from home and accurately assess requirements for each project; be able to communicate effectively with customers when there are questions or issues to be addressed.
  • Compose and edit memos, letters, emails and other correspondence; format and edit documents such as financial statements, presentations, proposals, contracts, operating agreements, and other deliverables.
  • Drafts general correspondence, memos and letters. Proofreads drafts for spelling, grammar, accuracy and layout, and makes appropriate changes for final copy.
  • Creates and updates presentations including charts, tables, graphs, utilizing various software programs.
  • Schedules and coordinates department meetings and events.
  • Interfaces with employees and executives using online chat, email, text, phone and virtual/video conferencing.
  • Conduct research as requested using Internet and intranet resources.
  • Creates spreadsheets.
  • Coordinates travel arrangements, compiles documents for travel-related meetings and completes Travel and Expense Reports.
  • Provide Outlook support (email, calendar).
  • Perform additional tasks as required.
  • Processes invoices for payment, after first assessing purpose, obtaining approval, and routing to appropriate party for payment.
  • Prepares agendas, notices and minutes for meetings.

Qualifications:

  • Minimum of Associates Degree; Bachelors Degree strongly preferred. Will also consider online training program and certifications in related fields.
  • Minimum five years administrative work experience in a corporate office environment.
  • Must be able to provide excellent and comprehensive administrative and operational support to key executives
  • Must have strong ability to multi-task even under high pressure. Laser focus attention to detail.
  • Excellent communication skills (verbal and written) and have the ability to work across functions.
  • Must be able to handle confidential and sensitive information with discretion. Exercise professionalism at all time.
  • Must be highly motivated with a can-do attitude and accountability for all tasks. Must have high degree of flexibility and handle multiple issues that may arise calmly
  • Positive and professional demeanor.
  • Strong customer service skills
  • Ability to establish and maintain effective working relationships with colleagues, staff and external contacts, working collaboratively in a professional team environment.
  • Ability to collect, research, organize, analyze and report complex data; evaluate information and systems; and make appropriate recommendations.
  • Excellent technical skills – MS Word, Excel, PowerPoint, Outlook, Proofreading and Internet.
  • Excellent verbal and written communication skills.
  • Ability to exercise good judgment/decision making and maintain confidentiality.
  • Ability to anticipate problems and pro-actively formulate resolutions
  • Ability to work independently
  • You must have a fully equipped home office with zero distractions. This will require a separate room with a door, a private telephone line, high speed internet and no outside noise including pets and children.
