We work throughout in the U.S. and overseas including; Africa, Asia, Latin America and the Middle East chiefly for governmental clients, including the Centers for Disease Control and Prevention (CDC), the Department of Defense (DOD), the General Services Administration (GSA), and the U.S. Agency for International Development (USAID).





Currently, we are seeking a highly motivated and qualified Executive Assistant/Virtual Assistant/Remote Administrative Support professional who is eager to lend their skills.

Location: work from any remote location

The contractor will provide Admin Support for the Business Unit. The following describes the tasking required for the Virtual Admin Support positions:

  • Proficiency in Microsoft Office applications, specifically Word, Power Point, and Excel
  • Working knowledge of SharePoint to maintain subsites is helpful, not required as training will be provided in a virtual classroom
  • Exercises control over daily calendars, establishes priorities, schedules meetings and appointments, accepts or decline invitations.
  • Receives and screens phone calls, answers questions and completes most business involving established policy or routine matters without referring people to the Director
  • Prepares travel orders and vouchers
  • Uses business systems to submit and/ or process actions such as onboarding, off boarding, training requests, supply, and purchase requests
  • Assists project teams in developing plans, schedules, communication materials, training materials, organizing and maintaining files and databases
  • Coordinates and attends virtual meetings, takes and distributes minutes via video, conducts research, and coordinates other office needs (e.g. data entry, document preparation, etc)
  • Composes non-technical correspondence and standard operating procedures on a variety of topics such as office procedures, requests for information, and the handling of other sensitive matters based on knowledge, policies, precedents and practices
  • Creates and maintain office and project documents such as Team handbook, emergency procedures, etc.
  • Proficiency in the operation of video software and call-in procedures used in a virtual conference room environment. Ensures meetings are set up, start timely (Skype/ bridge lines), and materials/ equipment for the meetings are ready in advance
  • Demonstrates organizational skills to manage material using an Excel tracking sheet and coordinating data entry from multiple sources
  • Provides support to all departments as requested. For example processing transcript requests, assisting with budget reports, and monitoring contracts status
  • Work with staff and faulty resolving any issues; documenting resolutions; updating data as necessary
  •  Use Judgment to know when to elevate problems to the next higher level and when and how to communicate issues to management and staff
  • Coordinates multiple tasks simultaneously
  • Ensures effective communication to include advising of completion of actions
  • Helps prepare training material for when new applications or tools are rolled out
  • Interfaces daily with internal and external customers
  • Establishes and maintains relationships with key individuals/groups outside immediate work unit
  • Effectively plans and organizes data and related information
  • Assists with coordinating, scheduling, and conducting meetings and training sessions
  • Demonstrates professional behavior (e.g. arrives timely, dresses appropriately, communicates professionally, and completes tasks timely)
  • The contractor shall provide a bi-weekly status report showing a status of tasks, accomplishments, and any potential risks.
  • The contractor shall maintain all assigned documentation, maintain configuration management, and make updates as required.
