These full time, remote Administrative Assistant positions are responsible for all advanced administrative duties relating to the Finance Department. Primary responsibilities include maintaining Unit Directors, Senior staff and department calendars, expense reports, travel arrangements, preparing job arrangement letters, set-up client folders, processing travel expenses, and creating reports and handouts for meetings.
$25/hr, Monday – Friday hours only.
Other variety of advanced administrative functions include routinely developing presentations and advanced spreadsheets, managing multiple projects, exceptional communication and customer service skills.
Essential Duties
- Process financial forms, extensions, efiling.
- Prepare and mail financial letters, new client packages and job arrangement letters.
- Enter expense reports for Partners and Directors.
- Book travel for tax team, reserve conference locations, order catering for meetings, event planning, other general departmental and office tasks, as needed.
- Edit and format proposals, create powerpoint decks and spreadsheets.
Qualifications
- Proficient in Microsoft Office, Excel and Powerpoint.
- 1-2 years’ experience in a related field or area.
- Prior experience in an administrative assistant role supporting multiple team leaders and team member with advanced administrative needs.
- Strong attention to detail, ability to multitask and respond quickly to changing circumstances.
