Seeking multiple Executive Assistants to support consultants and provide adminsitrative and personal assistance, initiating new files, and scheduling, communicating, and coordinating the Consultant’s file-related commitments with the
clients. Additional duties within the organization and providing the Operations Managers with
administrative assistance, initiating new files, inputting case cost estimates in the Matter
Management System.

Principal Responsibilities
For Consultants, and/or Operations Managers
— Answers and appropriately screens telephone calls, manages and accurately
documents calls, including new matter inquiries.
— Uses MMS/CMS to complete conflict of interest checks and gather matter
initiation information on a timely basis. Obtains information for preparation of
matter budgets, if applicable. Routes new matter inquiries through the brokering
process as appropriate.
— Maintains the schedule/calendar and makes travel arrangements as necessary.
Coordinates and schedules meetings and events with clients and resolves
scheduling conflicts as necessary.
— Coordinates arrangements (food, facility, etc.) for meetings and special events.
— Provides typing support and uses standard naming conventions and standard
network directories for communication memoranda, correspondence, vehicle/site
inspection notes, personal notes, technical reports, etc.
— Reviews the incoming correspondence and communicates the identified
notices/requirements to the Consultant, Operations Managers, or other personnel
as necessary and appropriate.
— Completes other duties as assigned (e.g., prepare for oral presentations, research
papers, publications, etc

Requires a high school diploma or equivalent.
Education equivalent to two years college preferred.
Must be able to type 70 wpm.
Must possess highly developed demonstrable communication skills.
Must be able to prioritize a multitude of details and manage several tasks
simultaneously in an efficient manner.
Experience with Word strongly preferred, with Excel, PowerPoint, Quattro,
Access and Windows desirable.
Education equivalent to two years college preferred.
Must be able to type 70 wpm.
