Job Description

Attorney’s Office seeks a motivated, organized, and detail-oriented virtual assistant dedicated to providing dependable and quality executive administrative and management services from a remote environment. Candidate will provide administrative support to a regional team of Attorneys, Advocates, investigators, and professional with large legal defense organization.
ESSENTIAL FUNCTIONS:
  • Provide virtual administrative and office support including but not limited to managing voicemail, creating documents, and supporting case loads with client service, support, administration and communication.
  • Perform data entry in the case management system.
  • Prepare subpoenas, organize cases, draft correspondences, and manage spreadsheets.
  • Provide professional and courteous service and assistance via the telephone
  • Listen to busy automated voicemail line, create detail notes of call and forward to appropriate staff with insight.
  • Support staff assigned to court duties:
    • Directly maintain and update case management database, including file creation and data entry of disposition information in an accurate and timely manner.
    • Create and manage daily court list and file preparation for daily court business.
    • Perform legal research and create detailed research reports
  • Work closely with our colleagues, victim witness advocates, law enforcement, court personnel, the defense bar, criminal justice agencies, community partners, and the public via email and telephone.
OTHER DUTIES:
  • Attend required training and other relevant functions including our annual staff conference (we cover all travel expenses).
  • Exercise respectful and professional behavior and communication with the public, judicial, and law enforcement personnel and office staff.
  • Complete work assignments in a timely, accurate, and efficient manner.
  • Perform other duties as assigned.
PHYSICAL DEMANDS: Ability to sit for extended periods of time and work from a home office without interruptions. No children or animal disruptions. Home office must be equipped with a newer computer, full software programs, internet, communication tools, and video conferencing abilities. A landline phone is required (can be obtained after you are hired.)

Qualifications
Required:
  • Strong written and verbal communication skills.
  • Excellent organizational skills with strong attention to detail.
  • Ability and willingness to assist in any of our departments that are shorthanded.
  • Ability to update the case management system both accurately and in a timely fashion.
  • Ability to assess and address issues in a timely fashion.
  • Ability to multi-task and prioritize responsibilities in a fast-paced virtual/remote environment.
  • Ability to work independently.
  • Strong computer skills; must be proficient with Microsoft Office Suite.
  • Strong personal character and ability to handle sensitive and confidential information.
Preferred:
  • Bachelor’s degree.
  • Customer service experience.
  • Home office / remote-virtual office experience preferred
  • Working knowledge of the criminal justice system and interest in public service helpful not required
